Why digitize your aircraft logbooks
The logbooks are the aircraft's resume. When they are complete and legible, they support the asking price. Digitizing does not change what is in the books, but it changes what the books can survive and what they can do for you:

- Disaster insurance for the records themselves. Hangar fires, floods, leaky pipes, and simple misplacement destroy irreplaceable logbooks every year. The FAA does not keep copies of your maintenance logs, so if the paper goes, the history goes with it.

What to gather before you start
“The logbooks” is really a pile of related paper. A complete digitization job collects all of it:
- Airframe logbook(s), from the first entry to the current book.
- Engine logbook(s), one per engine on a twin, including books that traveled with an engine from a previous airframe.
- Propeller logbook(s), often the thinnest and most frequently misplaced book of the set.
- AD compliance records, whether kept as a standalone list or scattered through the logs.
- FAA Form 337s for major repairs and alterations.
- STC paperwork for anything modified under a supplemental type certificate.
- 8130-3 forms and yellow tags for overhauled or repaired components.
- Current weight and balance and equipment list, plus superseded revisions.
- Shop invoices and work orders. They corroborate the log entries and carry detail the entries summarize.

How to scan logbooks yourself, step by step
A careful DIY job produces scans as good as any service. The discipline is in the preparation and the naming, not the scanner:

Pull the airframe, engine, and propeller logs, plus AD compliance records, Form 337s, STC paperwork, 8130-3 and yellow tags, weight and balance revisions, and shop invoices. The supporting paperwork is what corroborates the logbook entries.

Sort by logbook, then chronologically. Flag anything loose that lives tucked between pages. A consistent order now saves hours of renaming and re-sorting later.

Three ways to get it done
There are three levels of digitization, and they solve different problems. Knowing which problem you are solving keeps you from paying for the wrong one:
1. Do it yourself with a scanner
Cheapest, and entirely under your control. A weekend with a flatbed or sheet-fed scanner covers a typical piston single. The result is a safe set of images. What it does not give you is structure: the scans are only as searchable as your file names.
2. Use a scanning or transcription service
Companies will scan your records, and some will transcribe them page by page into digital text. This buys convenience and, with transcription, readability. Weigh the tradeoff honestly: your only copies travel by mail or a stranger handles them on site, and services price by volume, so decades of records cost real money. For large fleets or turbine aircraft with deep archives, this is often the practical path.
3. Digitize into structured data, not just images
The highest level is software that reads the scanned page and extracts the facts: the date, the times, the work performed, the signature line, the AD numbers. The page becomes a record the software can compute with, so your inspection due dates, AD status, and component times flow from the history itself. Scanned images versus structured data
This distinction is the one most owners discover late, so it is worth making explicit. A scan is a photograph of history. It protects the record, but it cannot answer a question. Structured data is history the software understands: every entry has a date, times, work performed, and links to the components and inspections it affects.
The difference shows up the first time you need an answer rather than a page. “Show me every entry that touched a cylinder” is impossible with a folder of PDFs and trivial with structured records. Check the record for gaps while you are in there
Digitizing forces you to touch every page, which makes it the ideal moment to audit the record. Things worth checking as you go:
- Time gaps. Years with no entries at all, or a jump in tach time no entry accounts for.
- Missing annuals. There should be an annual inspection entry for every year the aircraft was flying.
- AD compliance you cannot trace. Recurring ADs with no recent compliance entry deserve a conversation with your mechanic.
- 337s referenced but not present. An entry that mentions a major alteration should have matching paperwork, and the FAA can supply copies of filed 337s if yours are missing.
- Component swaps without paper. An engine or prop change with no 8130-3 or yellow tag in the pile.
None of this is a verdict on the airplane. It is simply what a pre-buy examiner will look for, and finding it yourself, on your own schedule, is worth a great deal more than a buyer finding it during a sale.
